Reviewer reminders and reviewer deadlines
Overview of reviewer reminders
By default, Scholastica will automatically send emails to reviewers according to the following rules:
- Until the invitation is accepted or declined, Scholastica sends reminder emails weekly, bi-weekly, or not at all depending on how you've set up your settings. These reminders are marked with "(Reminder)" in the subject line to distinguish them from the original invitation.
- If the invitation is accepted, Scholastica sends reminders based on the journal's configured frequency: every 7 days, every 14 days, only 1 week before the due date, or only on the day the review is due (default).
- On the day the review is due, Scholastica sends a single reminder email.
- After the deadline has passed, depending on how your journal's Reviewer Settings are configured, Scholastica will either:

Send weekly or bi-weekly emails notifying the reviewer that their assignment is past due.
OR
- Automatically revoke the reviewer invitation.

- Editors can manually send a reminder email at any time. The automatic reminder emails are reset by this, meaning the next one won't be sent until the configured reminder interval has passed since the manual reminder was sent.
The journal account admin can disable reminder emails by visiting My Journals > Peer Review > Peer Review Settings > Reviewer settings > Click 'Edit' under Reviewer Options.

Until the invitation is accepted or declined, the invitation is resent weekly, bi-weekly, or only on the review's due date depending on how you've set it in your Peer Review Settings:

To edit your settings and frequency of reviewer reminder emails, the admin editor for the journal will go to My Journals > Peer Review > Peer Review Settings > Reviewer Settings > Reviewer Options and scroll down to the following option:

In addition to sending reminders, you can optionally configure your journal to automatically revoke reviewer invitations that go unanswered past a certain date.
To enable this:
- Go to My Journals β Peer Review β Reviewer Options.
- Check Auto-revoke unanswered invitations?
- Set the number of days and time of day for the acceptance deadline.
- Click Save.
When enabled, the reviewer's invitation email will prominently display the accept/decline deadline. Once a reviewer accepts, they'll receive a confirmation email with their review deadline. If they do not respond by the deadline you've sent, their invitation will automatically be revoked.
If an invitation is auto-revoked β whether for no response or a late review βthe reviewer receives an email notifying them that their invitation has been canceled.
Review submission deadlines
This is the length of time you'd like to allow reviewers to submit their review. This configuration option sets the default value in the reviewer invitation form when inviting reviewers. You'll be able to adjust this timeline per individual review invitation, at time of sending the review invitation.
After the review deadline passes
Under Reviewer Options, you can choose what happens when a reviewer misses their review deadline:
- Keep the invitation open and mark late: The reviewer stays assigned and receives late reminder emails (default behavior).
- Revoke the reviewer invitation: The invitation is automatically revoked and the reviewer is notified by email.
